Job Description

As first point of contact, the role holder will provide a great first impression of the home, by greeting, welcoming, and assisting relatives, residents, and visitors in a professional manner, always delivering a high level of customer service.

Key Accountabilities:

  • Welcoming all residents and visitors.
  • Answering all phone calls professionally and in a timely manner.
  • Assisting with any queries from relatives and visitors, including enquiries when needed.
  • Residents – Assist setting up resident’s financial files including completing resident contracts as and when required
  • Assist with the input of residents’ details on People Planner, ensuring accurate and up to date information relating to occupancy, funding details and other relevant details 
  • Directing queries to the appropriate department 
  • Ensuring that any visit requests are communicated to the relevant person.
  • Maintaining a safe and clean reception area.
  • Communicate any feedback received from residents, relatives, or visitors both positive and negative.
  • Contribute to the team effort.
  • Abide by all company Policies and Procedures in accordance with the Staff Handbook and Policy and Procedure File.
  • Assist with completing purchase requests and place orders for items required in the home e.g. uniforms, stationery, cleaning products and medical supplies.
  • Assisting with payroll and rotas as and when required.
  • Ensure all team members and visitors have completed PCR’s and LFT’s and replenish the PPE station.
  • Organising and sorting post and any deliveries that come into the home.
  • Assisting with recruitment, such as checking Indeed and arranging interviews.
  • Ensuring the showrooms are ready and conducting show rounds.
  • Assisting with HR tasks, such as DBS’s, references, setting up new starter files and updating the HR tracker.
  • Assisting with any other duties, that may be required. 
  • Completion of mandatory E-Learnings 
  • To embed and demonstrate our company values throughout your working day

Skills & Competencies

  • Excellent written and verbal interpersonal communication skills 
  • Experience in a customer facing environment 
  • Genuine interest in working within a caring environment
  • Competent IT skills 
  • Ability to create organised filing system 
  • Exceptional Customer service skills and professional phone manner
  • Knowledge of Microsoft Software

Qualifications & Experience:

  • 2+ Years’ Experience as a Receptionist or Administrative Assistant 
  • Experience of working within a care environment (desirable but not essential)
  • Good standard of English and Maths
