DOMICILIARY SUPPORT SERVICE ADMINISTRATOR
Hours: 21 hours per week
Salary: £17,177 pro rata per annum
Holidays: 25 days per year plus 8 public holidays (Pro Rata)
Period of Notice: 1 week during probation, 4 weeks thereafter
Probationary Period: 6 Months but can be extended if needed
Based at: Havorfordwest, Pembrokeshire
Responsible to: Domiciliary Support Registered Manager

Job Purpose:


Under the direction of the Registered Manager, Hafal operates domiciliary support services including domiciliary home care service, palliative care service and respite service for Carers. Work in line with our commitment to principles of empowerment, self-management, wellbeing and recovery and ensuring compliance with internal and external quality standards inspection and regulation (including CIW).

Main Duties and Responsibilities:

  • Ensure all administration tasks are carried out effectively and efficiently.
  • First point of contact answering and logging incoming telephone calls, directing calls as appropriate, recording all calls and actions, ensuring all calls are dealt with, and taking messages and completing telephone logs
  • Communicating effectively with individuals making enquires and requesting information, all care Support Workers, Carers, referrers and other professionals.
  • Follow in place local and organisational procedures while adhering to confidentiality and GDPR policies when handling personal or commercial sensitive information.
  • Work as part of a core team to contribute to meeting requirements of General Data Protection Regulation (GDPR).
  • Opening, recording, and distributing incoming mail.
  • To work flexibly as part of Hafal’s core team undertaking other work, particularly
  • administration duties where necessary including the word processing of documents and reports.
  • General administrative support (printing, scanning and photocopying), to ensure sufficient supplies of staff and service-related documents and locally produced publicity material are available.
  • Preparation of envelopes and labels for the roster.
  • Preparation of Power point presentation and training packs as required for meetings.
  • Booking venues for meetings/events, managing the office meeting room bookings.
  • Staff meetings –produce agendas, take and type up minutes and send out to staff.
  • There may be other requirements such as attending events for the organisation.
  • Updating service user records, filing service user recording sheets.
  • Attending Staff Learning Days and internal conferences as required which may include some out of hours working.
  • Work with integrity and understanding of care with confidential and sensitive information.
