Repairs Coordinator

Heart of Wales Property Services (HOWPS) is looking to recruit a Repairs Coordinator

to receive repair and maintenance requests from members of the public and others whether over the phone or by other means and to plan for the necessary work to be undertaken.

The successful candidate will operate the Housing Repairs Service scheduling system effectively and allocate work to Housing Maintenance Operatives to deliver appointments to tenants requesting repairs.

Principal Responsibilities:

* To receive calls from or on behalf tenants reporting maintenance issues. To record these reports and arrange an appropriate appointment for the works to be undertaken. Identify if the repair is an emergency and ensure a rapid response is provided

* To receive calls and emails from council employees to raise work on Corporate buildings, ensuring we have budget holder's approval

* To advise tenants and others when repairs issues are not the responsibility of the council and offer basic advice on how repairs could be addressed

* Check the availability of resources, to ensure appointments that have been made can be kept, and if not liaise with customers to make alternative arrangements

* Schedule jobs and allocate work to Housing Maintenance Operatives, ensuring that they are fully informed of any risks associated with the property or the tenant

* Take calls from Operatives to confirm arrival at job, diagnosis of problem and expected completion time and recording these on IT system

* To receive calls for "out of hours" emergencies as necessary and pass on to relevant standby operative

* Receive calls in respect of heating maintenance & servicing and pass onto relevant heating contractor

* To raise urgent works orders with external contractors for minor works under the direction of the Customer Services Manager

* Predict trends of workload and schedule accordingly and liaise with the Customer Services Manager where additional resources are required

* Advise tenants of any recharge costs for repairs undertaken due to damage caused by the tenant or their household

* To address health and safety policies and arrangements in a pro-active manner to ensure that a high standard of safe working practices is maintained

Person Specification:

* Previous experience in a Customer Services role and the ability to operate IT systems, ideally within the Repairs & Maintenance sector

* Knowledge of the legal requirements under Health and Safety

* A clear understanding of the importance of confidentiality and Data Protection

* NVQ Level 3 or equivalent in Customer Service

* Commitment to high levels of Customer Service

* High levels of interpersonal skills, ability to influence colleagues / customers and to communicate in Welsh

* Ability to prioritize work and meet deadlines in a fast-moving environment

* Ability to work on own initiative and as part of a team

This position has a requirement for a Standard DBS check
