Facilities Administrator
Newport

IntaPeople are currently recruiting for our South Wales based client who are seeking a Facilities Administrator to join their established and growing in house team. The Facilities Administrator is responsible for assisting the Head of Facilities with managing the planned preventive maintenance programme, liaising with contractors, arranging site visits, collating information from maintenance reports and following up on outstanding actions. General administrative duties such as filing and uploading confidential documentation.

Key Responsibilities

- Liaise with Facilities Manager on PPM (Planned Preventive Maintenance) activities
- Provide maintenance scheduling information, aligned to supply chain contracts, for both management and customers on an annual basis to allow for future planning by customers
- Assist with the management of all supplier contracts for mechanical and electrical infrastructure
- Advising on potential issues with suppliers. Ensuring performance of suppliers is in line with expectations and contracts
- Assist with ensuring all mechanical and electrical infrastructure is maintained in line with OEM recommendations ensuring resilience is maintained and uptime targets are met
- Administrative tasks relating to the maintenance and upkeep of the supplier repository
- Stand-in for the Head of Facilities when necessary
- Be a point of contact for any Facilities related issues
- Be able to manage hard and soft service contractors
- Be able to prioritise your work load
- Ensure all maintenance activities are 100% complete

Experience/Skills

- Experience in a Facilities Administration/Management position
- Knowledge of mechanical infrastructure and electrical distribution networks
- Excellent administration skills
- Candidates from a critical infrastructure background will be of particular interest
- Excellent communication and customer service skills
