Due to continued growth we are now looking to recruit a ‘Senior administrator‘ in Cardiff with experience of providing business consultancy / advisory, recruitment, training or related services to business. 

Purpose of the role:

To adhere to the administration systems and processes within the confines of internal and external requirements.

Description

Key responsibilities:

The key responsibilities of this role are to ensure the accuracy of data submitted to funding and awarding bodies. Implementing and adhering to quality orientated administrative processes.

As the Senior Administrator you will be expected to team lead the data administrators throughout daily tasks, whilst also acting as stand-in for Data and Compliance manager in periods of absence.

Key duties:

  • Work alongside Data and Compliance manager on a continuous basis to have full knowledge and understanding of:  Forecasting, contract management and LLWR systems and quality auditing.
  • Undertake data administrator one to one’s every other month
  • Support Data and Compliance manager to undertake data administration team meetings
  • Ensure data administrators complete statutory CPD annually.
  • To ensure all data is processed and compiled ready for submitting for the month end.
  • To process and reconcile awarding body transactions.
  • To maintain excellent customer service skills
  • To maintain accurate and timely manual and electronic client records
  • To review administration processes ongoing identifying areas of efficiency or effectiveness.
  • To support line managers in performance management of assessors/tutors
  • To support the Data and Compliance manager identify error trends affecting quality and compliance.
  • To support in producing monthly and quarterly reports for monitoring purposes
  • Maintain and develop internal and external communications.
  • Meet audit expectations of the funding body.
  • To comply with all company processes and procedures.
  • Assist departments in compiling and distributing external communications.
  • Demonstrate a good understanding of all contracts held within the office
  • Ensuring that all paperwork accepted into the department is of a high quality and is submitted within set timescales.
  • Ensure all administrative functions are completed on a timely basis
  • Participate in annual self assessment process
  • Adhere to and support company equality and diversity procedures
  • Adhere to company health and safety procedures
  • Carry out any additional duties as reasonably requested by line management
  • To ensure the quality of health and safety vetting and monitoring forms
  • To act as fire wardens in the event of an emergency
  • Take full responsibility for Print, Post and Stationary budget
  • Contribute to sustainability and becoming a global citizen
  • Contribute to promoting and maintaining the Welsh language

Ensure that colleagues and learners are safeguarded against all types of bullying or abuse

Requirements

Qualifications

The successful candidate will have a minimum of L3 Business Administration (or equivalent) and a management qualification.
