Salary: Basic salary £16,000.00.

Job Elements: -

·To support the office managers in their activities in meeting the business administration needs of the Directors and the Company

·To screen telephone calls and handle them in a polite and courteous manner; to take messages and pass them to the PA when absent from the office.

·To procure and organise company catering requirements for meetings as advised by the PA.

·To prepare room for meetings and ensure the rooms are clean and tidy at the end of the day.

·To be the principle point of contact for visitors and meet and greet them appropriately.

·To assist the PA in the organisation of diaries and appointments.

·To assist with incoming post, email and faxes and handle appropriately under the guidance of the PA.

·To carry out research for projects as instructed by the PA for the MD and the other directors and to present the findings in a timely manner.

·To assist the PA in creating documents, briefing papers, reports and presentations in meeting the needs of the business.

·To liaise with customers, suppliers and other staff where appropriate in a polite and courteous manner to seek advice from the PA if unsure of any requests and actions required.

·To assist with data management, office procedures and filing etc.

·To arrange travel and accommodation when requested to ensure the needs of the person are met.

The ideal candidate will have:

·Strong administrative skills

·Effective telephone manner

·Strong communication skills both verbal and written with ability to build rapport with people

·Ability to meet and greet visitors to the organization and present a professional image of the organisation at all times

·High level of organisational skills and able to prioritise tasks in order of importance

·Able to manage time effectively to meet organisational needs skills

·High level of computer literacy with the ability to use the “Microsoft” suite of packages

·GCSE Maths and English or equivalent

·Business Administration qualification
